Basic documents for your shipment

Commercial invoice and importer details

Accurate description, quantities, values, currency and seller/buyer details. The importer needs the identification or registration required at destination; personal ID does not always replace commercial registration.

Packing list and transport document

Prepare the package count, contents, weight and dimensions. Transport documents depend on the mode: air waybill (AWB) or ocean bill of lading (B/L), as applicable.

Additional documents depending on the goods

Insurance, origin evidence, licences or health and technical certificates may apply. Confirm any product restrictions before buying or shipping. Personal, commercial and courier shipments may follow different procedures.

Requirements by destination

Select your destination. These summaries do not replace checks of the goods, customs regime and current regulations.

Other countries in Latin America and worldwide

Tell us the country, goods, value and personal or commercial use. We check the requirements for that operation before confirming shipment; there is no single checklist valid for every country.

FOB, CIF and other Incoterms® 2020

These rules allocate tasks, costs and risks between seller and buyer. They do not set prices or payment terms. Always agree on the rule, exact place or port and version.

EXW

The seller makes the goods available at the agreed place. The buyer handles most of the operation; check loading and export-clearance arrangements.

FCA

Delivery to the buyer’s nominated carrier or person at the agreed place. Suitable for any transport mode and useful for containerised cargo.

FOB

Sea or inland waterway only: delivery and risk transfer when the cargo is on board at the agreed origin port.

CIF

Sea or inland waterway only: the seller pays freight and insurance to the agreed destination port. Risk passes on board at origin, not on arrival.

CIP

The seller pays carriage and insurance to the agreed destination; risk passes on delivery to the carrier. Suitable for multimodal transport.

DAP

The seller delivers at the agreed destination, ready for unloading. The buyer handles import clearance and import duties and taxes.

DDP

The seller handles import clearance and import duties and taxes to the agreed destination. Confirm the seller can meet these obligations in that country.

Example wording: “FCA [agreed exact place], Incoterms® 2020”. For containerised cargo handed to the carrier before loading on board, consider FCA rather than FOB. ICC ↗

What to check in your quote

Goods and declared value · origin and destination · freight · insurance · customs clearance · duties and taxes · terminal or storage charges · final delivery. Check what is included, what is charged separately and the quote validity. Freight is not the total import cost.
